C) SPECIAL CHECKS Flow Chart Ref. There are times that Special Checks must be issued by Donnelley. A special check is a check that is not processed through the EDP system. It is manually walked through the steps. The payment is later entered into the EDP system and shows up on the check register as an "out-of-sequence" check. A special check may be issued for the following reasons: 1. A vendor is taken off the exception report and must be paid immediately. 2. Lorillard tells Donnelley to pay the vendor immediately. 3. Certain Clearing-houses must be paid within 15-30 days of invoice date. D) A control sheet summarizing all pertinent information (number of checks issued, number of coupons redeemed, total amount paid to vendors by checks) is prepared by the Accounting Department for each weekly check register. At the end of the month all weekly control sheets are summarized to a monthly control sheet. IX. COU[ITING OF COUPONS A) Coupons which are sorted by face value (step IV) are~~ further sorted by the Code number imprinted on the (/yl coupons. Coupons are counted by code through a weighing process (1 lb. of Code 585 coupons = 1185 coupons). The result of the weight count is indicated ~ on a coupon sample. All samples remain in tact for further processing. The weighed coupons are then compacted and subsequently destroyed (shredded and mulched). I
